step one Read the Assumptions.
The assumptions will help you understand exactly what the K12 TCO Calculator does and does NOT intend to do, and you will become more familiar with the far-reaching effects of technology expenditures. School leaders often underestimate how hardware and software purchases will impact expenditures in other areas, such as professional development and personnel.

step two Gather resources.
Completing the data entry portion of the calculator will take some time and some homework. You are encouraged to take an active part in investigating the parameters presented in the calculator. You will be asked to input items such as current and projected enrollments, attendance (ADM), salaries, and number and types of hardware and software throughout the school. For some items, it may be best to physically survey your school building(s) and infrastructure to create a more accurate profile.

Your most important resource will be your school's five-year technology plan. For most data, you will enter a current figure, a projected figure for the first year of implementation, and a projected figure for the fifth year of the school technology plan. Look for these headings at the top of each page.

Two important points to remember when using the calculator:

  1. Be as thorough as possible. The summary reports depend on completing as much of the data as possible. In fact, the reports will not be calculated until all critical data are entered. The system will prompt you to supply missing data, and the critical data entry points are identified by an asterisk (*) and red type.
  2. Save your work.
  3. You do not need to complete all the data entry at one time. However, to save any data you have entered on a page, be sure to press the update button at the bottom of the page.

step three Enter the system.
The K12 TCO Calculator is very easy to use, although it will take some time. The data entry pages are broken down into 10 steps. Approximately 90 items require answers (some items are contingent on previous responses and are not always displayed). It will take approximately 90 minutes to complete the data entry if you have all necessary information. It is likely, however, that you will need to leave during this process to investigate answers. You may leave the K12 TCO Calculator as often as you wish, just remember to save your data by selecting the update button at the bottom of each page.
step four Use the results in planning.
Once you have completed entering data, the K12 TCO Calculator provides a variety of summary reports that you may print or download. Major expenditure categories are presented in both graph and table form. Data in tables may be downloaded as Excel spreadsheet files. Use these data in your decision-making processes at both the building and district level.

The calculator also provides an opportunity to play out "what if" scenarios by changing data without spending the dollars. These scenarios can be helpful to decision makers trying to determine the impact of technology purchases on the total school system.
